Will AI replace payroll clerks? Payroll software and the data

Updated

Payroll was one of the first office jobs computers took on, and modern payroll software now pulls hours from time clocks, calculates taxes and deductions and pays people automatically. AI is adding the next layer: answering employee questions and flagging errors before payday.

The short answer: payroll clerk jobs are shrinking, and AI and software are a big reason. The ILO's 2025 index puts payroll clerks in gradient 4, its highest exposure band, with a score of 0.61. The US Bureau of Labor Statistics projects a 16 percent decline for payroll and timekeeping clerks from 2025 to 2035, from about 159,600 jobs to 134,300. Projections are estimates, not guarantees.

How exposed payroll clerks are

The International Labour Organization scores occupations' tasks from 0 (cannot be automated with generative AI) to 1 (could be done without a human operator), and groups them into gradients from 1 to 4, with 4 the most exposed; below them sit minimal exposure and not exposed (ILO Working Paper 140, 2025).

The BLS says productivity-enhancing technology is expected to limit demand for payroll and timekeeping clerks. Openings across financial clerks come from replacing workers who leave.

What AI is taking on

  • Collecting hours from time clocks and scheduling apps.
  • Calculating pay, taxes and deductions.
  • Answering routine employee questions about pay.
  • Flagging unusual hours, rates or changes before a pay run.

What stays with payroll staff

  • Exceptions: corrections, back pay, garnishments and unusual cases.
  • Accuracy: making sure people are paid on time and correctly, as the BLS describes the job.
  • People: explaining a paycheck to someone who thinks it is wrong.
  • Checking AI help: answers about pay and tax rules can be confidently wrong, which NIST calls confabulation (NIST AI 600-1). See checking AI output.

How the job is changing

The routine calculation is automated, so fewer clerks are needed. The work that remains moves toward payroll specialist and HR or accounting roles that handle exceptions and rules. This page is about jobs and is not tax or financial advice.

Pay and how to get in

The US Bureau of Labor Statistics puts the median annual pay for financial clerks at $49,990 in May 2025, against $50,980 for all workers. The typical education needed to enter is: high school diploma or equivalent. See how this job compares in AI exposure by pay and AI exposure by education level.

Questions and answers

Will AI replace payroll clerks?

It is shrinking the job. The ILO puts payroll clerks in its highest exposure band, and the BLS projects a 16 percent decline from 2025 to 2035.

Why are payroll jobs declining?

The BLS says productivity-enhancing technology is expected to limit demand for payroll and timekeeping clerks.

Is payroll still a good career?

Routine clerk roles are declining. Skills in exceptions, compliance and payroll systems carry over to specialist, HR and accounting roles.

What payroll work stays human?

Exceptions, accuracy checks, explaining pay to employees and checking AI answers.
